Cancellation Policy

This policy explains how cancellations, reschedules, and no-shows are handled for mobile appointments. Our goal is to be fair and transparent while protecting scheduled travel time.
Important (Confirmation-First)
An appointment request is not a final booking until we confirm availability, location, signer readiness, and any applicable travel/service fees before travel begins.
Availability outside Standard Hours is not guaranteed and is offered only when scheduling permits.

Readiness requirements (to avoid fees and delays)
- All required signers must be present at the scheduled time.
- Each signer must have acceptable identification.
- Documents must be complete and ready to sign (do not sign in advance).
- Any witness requirements must be confirmed in advance (and witnesses present if required).
- Access instructions (gate code, room/unit, parking) should be provided before arrival.
If these conditions are not met at arrival, the appointment may need to be rescheduled and previously disclosed and agreed travel/service fees may still apply.
1) Rescheduling
If you need to reschedule, contact us as soon as possible. We’ll do our best to accommodate based on schedule, travel constraints, and signer readiness.
Rescheduling does not automatically waive previously disclosed and agreed fees if dispatch has already occurred.
2) Cancellations (Before vs. After Dispatch)
A) Cancel before dispatch
If you cancel before we begin travel/dispatch, we may waive any optional travel/service fees depending on timing and circumstances.
B) Cancel after dispatch
If you cancel after dispatch/travel begins, previously disclosed and agreed travel/service fees may still apply. This is because travel time and scheduling capacity have already been reserved.
This may include travel fees, special access fees (if applicable), and any agreed priority or convenience fees tied to the confirmed appointment.
“Dispatch” means we have confirmed the appointment and begun travel toward the appointment location (or initiated special access/clearance steps when applicable).
Retainer clients (if applicable)
If you are a retainer client, the retainer covers only the agreed scope of non-notary business support (if any). Notarial act fees are statutory and billed separately. Cancellation, dispatch, and readiness rules still apply unless your written retainer terms explicitly state otherwise.
3) No-Shows / Not Ready at Arrival
If we arrive and the notarization or scheduled service cannot be completed due to signer/document readiness issues, previously disclosed and agreed travel/service fees may still apply. Common reasons include:
- Required signer(s) not present
- Unacceptable or missing identification
- Document issues (missing pages, incomplete, or requires action we cannot perform)
- Signer unwilling/unable to proceed
- Lack of readiness (documents not prepared, delays, etc.)
Wait time (if applicable)
If additional time is needed after arrival and we are ready to perform services, a wait fee may apply when previously disclosed and agreed.

Premium appointment types (when offered)
Early Bird and Extended Availability appointments are request-based and offered only when scheduling permits. If a premium appointment has been confirmed and dispatch has occurred, applicable agreed fees may still apply even if the appointment cannot be completed due to readiness issues or cancellation after dispatch.
4) If FSN Must Cancel
In rare cases we may need to cancel due to safety concerns, severe weather, emergencies, schedule conflicts, access restrictions, or other circumstances outside our control. If we cancel before dispatch, no travel/service fees will be charged. If we must cancel after dispatch due to conditions outside our control, we will communicate promptly and work with you on next steps.
